E.F. ASSISTANTS TOV provides accounting, audit, tax consulting and legal services to businesses — so the numbers and the paperwork always agree with each other.
1.1.This Policy governs the processing of personal data by E.F. ASSISTANTS TOV (the "Company") in the course of providing accounting, audit, tax consulting, legal and business support services, and in the operation of this website.
1.2.The Company processes personal data in accordance with the Law of Ukraine "On Personal Data Protection" and, in respect of data subjects in the European Union, Regulation (EU) 2016/679 (GDPR).
1.3.Terms used in this Policy have the meanings given to them in the legislation referred to in clause 1.2.
Article 2. Categories of data subjects and data
2.1.Clients and their representatives: full name, position, contact details, powers of attorney, identity document details where required for representation or registration actions.
2.2.Clients' employees: data contained in payroll and personnel records that the Company processes when providing accounting services (full name, tax number, position, salary, working time, bank details).
2.3.Counterparties and other parties to a matter: data contained in contracts, correspondence and case materials provided by the client.
2.4.Website visitors and enquirers: name, email, company name and the content of their message.
Article 3. Purposes and legal grounds
3.1.Performance of the service agreement with the client, including bookkeeping, preparation of tax and financial statements, audit procedures, legal advice and representation.
3.2.Compliance with obligations of the Company under legislation on accounting, taxation, auditing and prevention of money laundering, including client identification and verification.
3.3.Responding to enquiries — on the basis of the enquirer's consent.
3.4.Protection of the legitimate interests of the Company, including the establishment, exercise or defence of legal claims.
Article 4. Professional confidentiality
4.1.All information received from clients is treated as confidential. Information protected by professional secrecy — including audit secrecy and information constituting attorney–client privilege where applicable — is disclosed only with the client's consent or where expressly required by law.
4.2.Each employee and engaged specialist of the Company undertakes in writing to maintain confidentiality, both during and after their engagement.
4.3.When processing data of the client's employees and counterparties (clauses 2.2 and 2.3), the Company acts on the client's instructions and within the scope of the engagement.
Article 5. Transfer to third parties
5.1.Personal data may be transferred to state authorities (in particular tax and statistics authorities, the State Register, courts) when submitting reports, applications or documents on behalf of the client.
5.2.Data may be processed by providers of accounting software, electronic reporting and document signing services, cloud storage and email, under confidentiality obligations.
5.3.The Company does not sell personal data and does not use it for marketing without separate consent.
Article 6. Retention
6.1.Primary documents, accounting records and reports are kept for the periods established by Ukrainian legislation on accounting and archives.
6.2.Audit working papers and legal case files are kept for the periods required by professional standards and legislation, and in any case no longer than necessary to defend against possible claims.
6.3.Enquiries that do not result in an engagement are deleted within 6 months.
Article 7. Security
7.1.Client files are stored in access-controlled systems; access is granted only to specialists assigned to the matter. Documents are exchanged through channels agreed with the client.
Article 8. Website
8.1.The website does not use cookies or analytics tools. The contact form does not store data; it creates an email draft in the visitor's own email program.
8.2.Fonts are loaded from Google Fonts, as a result of which the visitor's IP address is transmitted to Google. The hosting provider keeps technical logs for security purposes.
Article 9. Rights of data subjects
9.1.Data subjects have the rights provided by Article 8 of the Law of Ukraine "On Personal Data Protection", including the right to access, rectification, erasure, restriction of processing, objection and withdrawal of consent.
9.2.Requests are sent to support@efassistantstov.rest or by post to the registered address and are answered within 30 calendar days. Rights may be limited where data must be kept under law or professional secrecy.
9.3.Complaints may be submitted to the Ukrainian Parliament Commissioner for Human Rights or, for EU data subjects, to the competent supervisory authority.
Article 10. Final provisions
10.1.The Company may amend this Policy. The current version is published on this website with the date it enters into force.
